You’ll get insights by visually viewing where you spend the most, enabling you to cut costs and increase profits. Built-in Approval System For those of us with employees, managing submitted expenses can be a real choir. BILLWAZE simplifies the process by allowing employees to submit their expenses directly within the platform. Once submitted, admin level users will get notified allowing them to either approve or reject their expense.For those us who are single employed or do not have any employees, BILLWAZE will automatically approve the expenses you enter. Adding Expenses: To add an expense, click on the + Add Expense button on the top right of the screen. You will now be able to use the settings on the right side of the modal to let BILLWAZE know how often to charge this same expense. Once you enter your settings, click on “Save” on the bottom right. Depending on the type of expense you’ve entered, they will either appear in one or two tables. For those us who are single employed or do not have any employees, BILLWAZE will automatically approve the expenses you enter.

****Adding Expenses:****  
To add an expense, click on the + Add Expense button on the top right of the screen. The Add Expense modal appears:

Add your expense by entering the date of the expense, selecting a predefined category or adding a new one. Enter the amount, select a payment method and enter a description. You may also upload a receipt by dragging and dropping a file on the indicator or clicking on “Select a file”. These type of expenses appear as “Single” within the expenses table.

****To add a Recurring Expense:****  
Enter the same information as you would for a onetime expense but now also click on the “Recurring” selection box. You will now be able to use the settings on the right side of the modal to let BILLWAZE know how often to charge this same expense. Once you enter your settings, click on “Save” on the bottom right. Depending on the type of expense you’ve entered, they will either appear in one or two tables.

The expense module is designed to help you make sense and better manage your company expenses. You’ll be able to easily capture expenses, upload receipts and classify your purchases. You’ll get insights by visually viewing where you spend the most, enabling you to cut costs and increase profits. Built-in Approval System For those of us with employees, managing submitted expenses can be a real choir. BILLWAZE simplifies the process by allowing employees to submit their expenses directly within the platform. Once submitted, admin level users will get notified allowing them to either approve or reject their expense.For those us who are single employed or do not have any employees, BILLWAZE will automatically approve the expenses you enter. Adding Expenses: To add an expense, click on the + Add Expense button on the top right of the screen. The Add Expense modal appears: <img src="https://dashboardassets.eb-pages.com/uploads/6417908828209152/image_png_Apr_29_2022_05_58_49_47_PM.png" alt="" width="inherit" height="inherit"> To add a single Onetime Expense: Add your expense by entering the date of the expense, selecting a predefined category or adding a new one. Enter the amount, select a payment method and enter a description. You may also upload a receipt by dragging and dropping a file on the indicator or clicking on “Select a file”. These type of expenses appear as “Single” within the expenses table. To add a Recurring Expense: Enter the same information as you would for a onetime expense but now also click on the “Recurring” selection box. You will now be able to use the settings on the right side of the modal to let BILLWAZE know how often to charge this same expense. Once you enter your settings, click on “Save” on the bottom right. Depending on the type of expense you’ve entered, they will either appear in one or two tables. Single- one time expense will appear in the “Approved Expenses” Table as show below:<img src="https://dashboardassets.eb-pages.com/uploads/6417908828209152/image_png_Apr_29_2022_06_00_12_35_PM.png" alt="" width="inherit" height="inherit"> Recurring Expenses appear in both tables:<img src="https://dashboardassets.eb-pages.com/uploads/6417908828209152/image_png_Apr_29_2022_06_01_28_04_PM.png" alt="" width="inherit" height="inherit"> ** Once a recurring expense is entered, the original entered expense appears in the “Recurring Table”. Once the “Next Expense Date” has come to pass, these type of expenses will also appear in the "Approved Expenses" table as either Weekly, Monthly, Yearly or Custom. See the below example: Using the screen above, let’s assume we entered a “Recurring Expense” for “Internet” services on June 15, 2021. We also tell BILLWAZE to post the first charge on June 15 ( Using the “Next Expense Date” field in “Add Expense” modal ) and thereafter, charge the same expense every month. In the screen above you would notice the originating ( recurring expense we just entered ) listed in the “Recurring Expenses” table. Since we also told BILLWAZE that the first post of this expense will be on June 15th, the expense immediately shows up in the “Approved Expenses” table. Observing the “Recurring Expenses” table, we see that the next “Expense Date” for this expense will be on July 15, 2021. When July 15th arrives, BILLWAZE will automatically add another $375 charge to the “Approved Expenses” table, and so on and so forth. Important Notes<ol class="PlaygroundEditorTheme__ol1"><li value="1" class="PlaygroundEditorTheme__listItem">When an administrator ( admin ) level user enters expenses, the expenses are automatically approved since they are entered by an admin level user.</li><li value="2" class="PlaygroundEditorTheme__listItem">If an “User” level user enters an expense, all admin level users in the system will be notified that the user submitted an expense. This is done via the “Alerts” bell icon on the top right of your screen. An admin level user will then be able to view the expense and either “Approve” or “Reject” the expense.</li><li value="3" class="PlaygroundEditorTheme__listItem">Expenses not yet approved will be marked as “Pending” until such time as they are approved or rejected. There is no time limit to select either.</li><li value="4" class="PlaygroundEditorTheme__listItem">Once an admin approves or rejects and employee’s expense, the employee will likewise be notified using the “Alerts” bell icon on the top right of the screen.</li></ol> Employee Submitted Expense <img src="https://dashboardassets.eb-pages.com/uploads/6417908828209152/11_24.PNG" alt="" width="inherit" height="inherit"> The above screen illustrates what happens when an employee submits an expense. Notice that two expenses have been submitted. One is a “Single” onetime expense. The other is a “Recurring” – ‘Monthly’ Expense. Important – Once an Admin approves a “Recurring” expense, this will approve the recurring pattern of the expense and no further approvals will be required to future posts. How to Approve or Reject an Expense<img src="https://dashboardassets.eb-pages.com/uploads/6417908828209152/04_58.PNG" alt="" width="inherit" height="inherit"> As shown, use the “Action” drop down menu next to the pending expense and select your action. Important- From time to time you may find yourself needing to change action and for example, make an “Approved” expense “Rejected” and make a “Rejected” an “Approved” expense. This is possible. Simply locate the expense and select the appropriate action. Employees will be notified of such instances using the bell “Alerts” icon. History Log BILLWAZE maintains a thorough log of all entries within the expense module. You will find it easy to understand who, when and what expense has been made, including who approved or rejected the expense. In addition, admin will be able to enter notes/explanations as to indicate reason(s) for approvals or rejections. Employee will be able to view these notes/explanations within the expense module.
